Acceptable Use Policy

Last updated 7 October 2026. What a pharmacy and its staff may and may not do with Zameda. It is part of the Terms of Service.

In short. Use Zameda to run a lawful pharmacy. A registered pharmacist makes every dispensing decision. Do not use it to supply medicines illegally, to put false records in it, to get into anyone else’s data, or to send people messages they did not ask for. If someone breaks these rules we start by telling them; we act at once only where there is a serious risk.

1. Who this applies to

It applies to the pharmacy that holds the workspace and to everyone who signs in under it: owners, administrators, pharmacists and cashiers. The pharmacy answers for what its users do. It also applies to the pharmacy’s online shop, and to what the pharmacy’s customers do there.

2. Medicines and dispensing

  • A registered pharmacist makes every dispensing decision. Zameda’s alerts are aids, not decisions.
  • Do not use Zameda to sell or supply controlled medicines illegally, or to help anyone else do so.
  • Do not release a prescription-only medicine without the prescription checks the law requires. On the online shop, prescription items stay held until a pharmacist verifies them. Do not work around that.
  • Controlled medicines cannot be ordered through the online shop. Do not list them there, rename them, or try to sell them through it by another route.
  • Only sell and list products your pharmacy is licensed to sell and that are registered for sale in Kenya. No counterfeit, expired, recalled or unregistered products.

3. Records

  • Enter true information. Do not record a sale, a dispensing, a controlled-drug movement, a batch or an expiry date that did not happen, or change one to hide what did.
  • Do not use Zameda to produce a document that misleads KRA, the Pharmacy and Poisons Board, an insurer or a patient.
  • Do not claim for a prescription that was not dispensed or a patient who was not treated.

4. Protecting the system and other pharmacies

  • Do not try to get into another pharmacy’s records, another user’s account, or any part of Zameda your role does not allow.
  • Do not probe, scan or test Zameda for weaknesses without our written agreement. If you find a weakness by accident, tell us at hello@zameda.co.ke and do not use it.
  • Do not overload the service, copy it, scrape it, or take it apart to find out how it works.
  • Do not bypass the limits of your plan, such as the number of branches, or share one workspace between pharmacies that should each have their own.
  • Use the integrations and API only as the documentation for your plan allows.

5. Sign-ins and security

  • One person, one login. Do not share a login or a till PIN.
  • Deactivate a person as soon as they leave. A deactivated person is signed out within seconds.
  • Tell us straight away at hello@zameda.co.ke if you think someone has got in who should not have.

6. Messages, and the online shop

  • Send refill reminders and order updates only to people the pharmacy has a reason to contact about their own medicines or orders. Do not use the email or text features for advertising to people who did not ask for it, or for anything unlawful.
  • Do not upload or publish anything unlawful, threatening, defamatory or that infringes someone else’s rights.
  • Do not make health claims you cannot back up, such as a promise to cure or prevent a disease, in product descriptions or messages.
  • Keep patients’ and customers’ information to what you need. Do not copy it out of Zameda for a purpose it was not collected for.

7. If these rules are broken

We act in proportion to what happened:

  • First, we tell you. We write to the pharmacy owner, say what we saw and ask you to put it right.
  • If it continues or is serious, we may remove content, switch off a feature (such as the online shop or messages), make the account read-only, or suspend it, as the Terms of Service allow. We tell you why unless the law or someone’s safety stops us.
  • If there is a risk to people or to other pharmacies, for example an attack on the system or the illegal supply of controlled medicines, we may act first and explain straight afterwards. Where the law requires or allows it, we report to the Pharmacy and Poisons Board, KRA or the police.
  • You can always export your own records while an account is read-only or being closed, unless the law or a court forbids it.
  • If you think we got it wrong, write to hello@zameda.co.ke and we will look again.

8. Changes

If we change this policy in a way that matters, we will email the pharmacy owner at least 30 days before it takes effect and show the new date at the top of this page.
